RentFix Privacy Policy

1. Information We Collect
RentFix collects the following information to provide landlord maintenance management services:
- Property Information: Property addresses, unit numbers, and related details you enter
- Tenant Information: Names, phone numbers, and email addresses (only what you provide)
- Work Order Data: Maintenance requests, photos, descriptions, and status updates
- Contractor Information: Names, contact details, and service history
- Financial Records: Expense amounts, categories, and dates (optional)
AI-Powered Diagnosis (Pro Feature)
When you use the AI Diagnosis feature, your work order description is processed entirely on your device using Apple's on-device Foundation Models. No description text, photos, or analysis results are sent to any server.
- Input: Your work order description text (minimum 10 characters)
- Processing: On-device AI model (requires iOS 26+ with Apple Intelligence)
- Output: Suggested category, urgency level, possible causes, cost estimate, and DIY tips
- Data Retention: AI results are stored locally alongside the work order. No AI data leaves your device.
2. How We Use Your Information
Your data is used solely for:
- Managing maintenance work orders and contractor assignments
- Generating QR codes for tenant maintenance submissions
- Tracking expenses for tax reporting (Schedule E)
- iCloud synchronization across your devices
- Providing AI-powered repair diagnosis (Pro subscription only, processed on-device)
3. Data Storage
Local-First Architecture: All data is stored locally on your device using Apple's SwiftData framework.
iCloud Sync: Optional iCloud synchronization uses Apple's CloudKit service. Data is stored in your private iCloud container.
AI Processing: All AI analysis runs on-device via Apple Foundation Models. No data is transmitted to external AI servers.
No Third-Party Servers: We do not operate our own servers for user data. The rentfix API server only handles share link generation for tenant tracking.
4. Data Sharing
We do not sell, trade, or transfer your information to outside parties. Your data is yours alone.
5. Tenant Submissions
When tenants submit maintenance requests via QR code:
- Share links are generated via our API server for tenant progress tracking
- Work order details shared with tenants include: category, status, and timeline only
- Tenant contact information is stored only on your device
6. Your Rights
You have the right to:
- Access all data stored in the app
- Export data via CSV, PDF, or JSON reports
- Delete all data by uninstalling the app
- Disable iCloud sync in device settings
7. Security
Data is protected by:
- iOS device encryption (when passcode is enabled)
- iCloud end-to-end encryption (for sensitive data)
- On-device AI processing (no data transmitted to AI servers)
- HMAC-signed API requests for share link generation
8. Children's Privacy
RentFix is not intended for users under 18. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this policy periodically. Changes will be reflected in the app and on this page.
